# AI Receptionist for Plumbers: Emergencies, Dispatch and Cost in 2026

Last updated: 2026-10-10

**Short answer:** An AI receptionist for plumbers is worth it if you lose jobs to calls nobody answers: nights, weekends and the hours your techs are under a sink. It should book routine jobs, collect details on emergencies and hand real emergencies to a person fast. As of October 2026, field service tools sell their own versions (Jobber’s add on is $29 a month), and a custom build costs $10,000 to $30,000 for a single line. Never let it give safety advice you have not approved.

If you run a plumbing business with one to thirty trucks, your phone is your sales floor. A homeowner with water coming through the ceiling does not leave a voicemail and wait; they ring the next name on the list. An AI receptionist for plumbers is a voice AI system that answers that call, asks the right questions, books routine work, takes details on emergencies and passes urgent calls to a person. This guide is for the owner deciding whether one is worth the money, and it says plainly when a ready made product is a better buy than anything we would build. For the general pricing picture across industries, see our guide to AI receptionist cost.

## What do missed calls cost a plumber?

No one has published a clean national number for plumbing alone, so be careful with any article that gives you one. What the public data does show is that a large share of inbound calls to home service businesses never reach a person. Invoca’s July 2026 Home Services Lead Conversion Benchmarks Report, drawn from anonymised call data across nine home service sub industries, found that 52% of all inbound calls were answered by a person. That rises to 65% for calls longer than 15 seconds and 73% for calls longer than 30 seconds, because the all calls figure includes very short calls and spam. Answer rates by sub industry ranged from 32% to 74%, and the page does not say which trade sits where. Invoca’s August 2026 analysis of more than 70 million calls across all industries puts it at 56%.

Treat those as a reason to check your own numbers, not as your number. Your phone system or field service software already records unanswered calls. Pull one month and count three things: calls after hours, calls that rang out during working hours, and how many of those were new customers rather than spam, suppliers or people you already serve. That count is the real size of the prize, and it feeds the worked example below.

Some of those callers would never have booked anyway, and a good voicemail greeting plus a quick call back recovers a share. Our [home services AI](https://vrisic.com/industries/home-services/) page covers the wider picture for trades.

Burst pipe call, answered and dispatched

## What does an AI receptionist actually do for a plumbing business?

At its best it does the work of a good office person on the first minute of a call, and nothing more. In short:

- **Answers every call** , including several at once, in the evening and on weekends.
- **Asks what is wrong** , the address, a callback number and whether the caller is an existing customer.
- **Sorts the call** into routine (dripping tap, water heater quote), urgent (no hot water, blocked drain) and emergency (burst pipe, flooding, gas smell).
- **Books routine jobs** into your calendar using the job types, service area and dispatch fee you set.
- **Transfers or alerts you** on emergencies, with a summary so you do not start from zero.
- **Logs every call** with a transcript and recording.

It does not diagnose, price a job it has not been given a price list for, promise an arrival time you did not authorise, or replace the judgement of an experienced dispatcher. Anything that needs those goes to a human.

How an emergency plumbing call should flow. Vrisic recommended flow; gas guidance follows PHMSA pipeline safety advice

## How should an AI receptionist handle emergencies?

It should recognise an emergency quickly, say as little as possible, protect the caller and get a person on the line. The safest design treats emergency handling as a short, fixed script written and approved by you, not something the AI improvises.

### Burst pipe or flooding

The caller needs to be told something useful in the first ten seconds and then connected. A sensible script asks for the address, asks whether anyone is in danger, offers the instruction your lead technician would give over the phone (such as where the main shut off usually is), and then either transfers to your on call number or sends you an alert with the details. Write that instruction yourself; do not let a general purpose model decide what advice a stranger should follow.

### Gas smell

This is where the AI should say the least. US federal pipeline safety guidance from PHMSA says that if you smell gas you should turn off gas appliances if you can do so safely, leave the area immediately on foot, and call 911 from a safe location, not from near the leak. It also warns against creating any ignition source, such as flipping switches or starting a vehicle. A gas call to a plumber should therefore get a fixed message along those lines, a check that the caller is leaving, and an immediate alert to your on call person. The AI must never suggest the caller stay and look for the source, and it should not try to book a routine visit first.

### What the products say

Vendor pages are thin on this. Jobber’s Receptionist lets you choose keywords that mean urgent, naming burst pipe and no heat as examples, and then either transfers the call or texts you an alert with a transcript snippet. Housecall Pro’s CSR AI page describes escalation rules and sending the call to a number you choose, but does not describe emergency handling. ServiceTitan’s voice agent page says the agent can recognise when a live person is needed and transfer the call, and it does not describe emergency handling either. Rosie’s plumbing page says its agent cannot dispatch plumbers directly but can tell callers about emergency availability and send you instant notifications. None of that is a guarantee. Run your own emergency tests, as described below.

Phone AI on the three main plumbing platforms. Vendor product and help pages, October 2026; confirm current terms before buying

## Can it book into ServiceTitan, Jobber or Housecall Pro?

Yes, but how easily depends on whose AI it is. The three big field service platforms each sell their own phone AI, which writes straight into the schedule. An outside AI receptionist, whether a subscription or a custom build, has to connect through that platform’s published route, and the routes differ in how open they are.

| Platform | Its own AI phone answering | Route for an outside AI |
| --- | --- | --- |
| ServiceTitan | Voice agents in Contact Center Pro. The page says they book to the dispatch board by job type, location and skill, confirm and reschedule appointments, and transfer to a person when needed. It states a setup of about 20 minutes. No price is shown. | The Leads Integration Platform lets approved Strategic Partners send bookings into a customer’s account, using credentials issued through a ServiceTitan Partner Manager. |
| Jobber | Receptionist answers calls and texts, books jobs in your calendar, creates requests, reschedules and cancels, and escalates on trigger terms. Included on the Plus plan; a $29 a month add on for select other plans. | Jobber’s Receptionist page links to a Developer Center and an app marketplace. We did not confirm the exact booking route for outside voice AI, so ask before you commit. |
| Housecall Pro | CSR AI answers calls and chats, books jobs onto your calendar and transfers to a number you choose. The help centre describes it as an optional add on. No price is shown on the pages we read. | The Create Lead endpoint of the public API pushes leads into an API Leads channel in the job inbox. Housecall Pro states that this is available only on the Max plan. |

From each vendor’s own pages and help centre, read in October 2026. Features and prices change, so confirm with the vendor.

Two practical points follow. First, if you already run one of these platforms, start by asking whether its own phone AI does what you need, because it needs no integration work and keeps every call, job and invoice in one place. Second, an outside AI on ServiceTitan is a partner route, not something you switch on yourself, and on Housecall Pro it may push you to a more expensive plan. Rosie’s plumbing page names Google Voice but no field service software, so check whether a general subscription writes jobs into your schedule or only takes messages. If a subscription cannot write to your system, a small [AI integration](https://vrisic.com/services/ai-integration/) project can sit between the two.

## Built in tool, subscription or custom build: which fits?

There are three realistic routes, and the right one depends on your software, your volume and how particular your rules are.

| Route | Best for | Watch out for |
| --- | --- | --- |
| Your platform’s own AI | Owners already on ServiceTitan, Jobber or Housecall Pro who want jobs booked straight into the schedule | Fixed behaviour, limited custom rules, and you depend on one vendor’s roadmap |
| General subscription AI receptionist | Small crews that mainly need calls answered, messages taken and a text or email alert | May not write jobs into your software; confirm dispatch limits and overage rules |
| Custom voice agent | Larger or multi branch firms with their own dispatch rules, several service areas or a system no product supports | Upfront cost, and you own the job of testing and maintaining the call flows with your partner |

If you are comparing subscription products, our guide to the best AI receptionist for small business lists current plans, and the best AI voice agent platforms review covers the developer tools behind custom builds.

## What does an AI receptionist for plumbers cost in 2026?

The published prices run from about $25 a month for light users to a few hundred a month for busy ones, with custom builds starting at $10,000. All prices below are in US dollars as of October 2026, from the vendors’ own pages.

| Option | Published price | Notes |
| --- | --- | --- |
| Jobber Receptionist | $29 a month add on, including 30 conversations; $0.79 per conversation beyond that | Included on the Plus plan (listed at $499 a month for 5 users, or $399 billed annually). Calls tagged as spam or with no real interaction do not count. |
| Upfirst | $24.95 for 30 calls; $59.95 for 90; $159.95 for 300; $299 for 600; 20% less billed annually | Overage $1.50 to $0.70 a call. Spam and calls under 15 seconds are not billed. |
| Rosie | $49 for 250 minutes; $149 for 1,000; $299 for 2,000 | 7 day free trial. Website texting is a $50 a month add on. |
| ServiceTitan voice agents | Not published on the page we read | Part of Contact Center Pro; ask your account manager. |
| Housecall Pro CSR AI | Not published on the pages we read | Optional add on; ask for a quote. |
| Custom voice AI receptionist, single line | $10,000 to $30,000 build (£8,000 to £24,000; AED 37,000 to AED 110,000) | Plus call usage at about 8 to 25 US cents a minute, billed at cost. |
| Custom, integrated with booking or dispatch | $30,000 to $75,000 | Likely range if it must write into ServiceTitan or similar. |

Vrisic has no commercial relationship with any vendor named here. Custom ranges are our typical figures, not a quote; you get one fixed price in writing after scoping.

For context on the human alternative, the US Bureau of Labor Statistics reports a median pay of $63,800 a year ($30.67 an hour) for plumbers, pipefitters and steamfitters as of May 2025. That is a good reason not to have a technician answering the phone from a crawl space. For the full pricing breakdown, including hidden fees, see AI receptionist cost in 2026.

## Worked example: what a missed call is worth, and what the AI costs

This is an illustration built on stated assumptions. It is not a client result, and your numbers will differ. Swap in your own call log, average job value and margin.

**Assumptions.** A plumbing firm with six trucks. Each month 100 calls go unanswered (after hours, weekends, all lines busy). Of those, 40 are genuine new customer enquiries; the rest are spam, suppliers or wrong numbers. The AI books half of the 40 into the schedule. The average job is worth $450 and the firm keeps a 35% gross margin on it.

- Jobs booked: 40 × 50% = 20 jobs a month
- Extra revenue: 20 × $450 = $9,000 a month
- Extra gross margin: $9,000 × 35% = $3,150 a month

**Option A: the platform’s add on (Jobber pricing).** $29 for the first 30 conversations, then 70 more at $0.79 if all 100 calls count: 70 × $0.79 = $55.30. Monthly cost: $29 + $55.30 = $84.30, or $1,011.60 a year. Net monthly gain: $3,150 − $84.30 = $3,065.70.

**Option B: a custom build.** Take $20,000, the middle of our single line range, spread over 36 months: $20,000 ÷ 36 = $556 a month. Usage: 100 calls × 3 minutes = 300 minutes, at 8 to 25 US cents a minute is $24 to $75. Monthly cost: $580 to $631. Payback on the build alone: $20,000 ÷ ($3,150 − $75) = 6.5 months.

**Stress test.** If the AI books only 10 jobs, margin falls to 10 × $450 × 35% = $1,575. Option A still nets $1,490.70 a month. Option B takes $20,000 ÷ ($1,575 − $75) = 13.3 months to pay back. If connecting to your dispatch software pushes the build to $40,000, the 20 job case pays back in $40,000 ÷ $3,075 = 13 months.

**Reading the result.** If a built in add on can book the jobs you need, it wins on cost by a wide margin in this example. A custom build only makes sense when no product can follow your rules, serve several branches or write to your system. Use the same method with your own figures.

**Get your numbers checked, free** Send us one month of call logs and your average job value. We will tell you whether a built in tool, a subscription or a custom build fits, within 2 business days.

## What should you test before you trust it with customers?

Run these tests on a free trial or a pilot before the number goes live. Use your real call scenarios, from a phone, from a noisy place.

1. **Ten routine calls.** Dripping tap, water heater quote, blocked drain, a callback request. Check that each lands in your system with the right address, job type and phone number.
2. **Five emergency calls.** Burst pipe, flooding, sewage backup and a gas smell. Time how long it takes to reach a person. Check that the AI says only what you approved.
3. **Hard names and addresses.** Spell an unusual surname, give a rural address and a callback number with pauses.
4. **Out of area work.** Ask for a job you do not do or a town you do not serve. It should decline and not book.
5. **Price questions.** Ask what a drain clear costs. It should quote only what you have loaded, or say a technician will confirm.
6. **Ask for a human.** Check the transfer, what you hear first and what happens if nobody picks up.
7. **Read the summaries.** Compare every transcript with what you said. A wrong booking once is a warning; twice is a reason to stop.

Review a sample of real calls weekly for the first month.

## When must a human take over?

Write these down as hard rules before launch. The AI hands off, every time, when:

- the caller reports a gas smell, carbon monoxide alarm, electrical contact with water, or anyone injured or at risk;
- the caller asks for a person, or sounds distressed or confused;
- the job is outside your trade, area or insurance;
- the caller disputes a bill, a warranty or earlier work;
- a commercial, landlord or insurer account needs a quote or approval;
- the AI is not confident what the caller said after two attempts;
- the booking would break a rule, such as a slot already full or a dispatch fee the caller refuses.

Also decide who the human is at 2am. An alert to an owner who sleeps through it is not a handoff. Name a primary and a backup, and have the system text both. Check your local rules on call recording and disclosing AI before you switch it on.

The ServiceTitan page quotes one customer saying its booking rate with voice agents is 80% to 85%. That is a vendor page quoting a testimonial, not a benchmark, and we would not plan around it. Measure your own booking rate for the first 30 days.

## When you should not buy one

Skip it if you already answer nearly every call, if your volume is a handful of calls a week, or if most of your work is large commercial jobs where every inbound call needs a conversation with an estimator. A good answering service, a shared inbox and a fast call back may cost less. If you are a one truck operator on a platform with a built in option, start with that before paying for anything custom.

## How Vrisic can help

We build custom voice AI receptionists for service businesses that have outgrown ready made products: several branches, their own dispatch rules, a system no subscription connects to, or a need to keep recordings in their own cloud. We are a senior remote team based in India, working US, UK and UAE hours, with no offices abroad. We build on your cloud account, you own the code and the call data, and you get a fixed price in writing. If a built in tool or a subscription fits, we will say so on the scoping call and save you the build. See our [voice AI development](https://vrisic.com/services/voice-ai-development/) and [AI agent development](https://vrisic.com/services/ai-agent-development/) services, or our page for [US businesses](https://vrisic.com/locations/usa/) .

The low risk way to start is our [AI Pilot](https://vrisic.com/ai-pilot/) : $1,500 (£1,200, AED 5,500), a working version on your own call scripts and booking rules in 10 business days, fully credited to the build if you continue within 60 days. ## Frequently asked questions

### Is an AI receptionist worth it for a plumbing business?

It is worth it if you lose new customer calls after hours or when your team is busy. Check one month of your unanswered calls, count the genuine new customers, and multiply by your average job value and margin. In our worked example, 20 extra booked jobs a month at $450 and a 35% margin add $3,150 a month in gross margin against an $84.30 add on. Your own numbers decide.

### Can an AI receptionist handle plumbing emergencies like burst pipes?

It can recognise an emergency, collect the address and callback number, and transfer the call or alert your on call person, if you set that up and test it. Jobber, for example, lets you choose urgent keywords such as burst pipe. Vendor pages say little about emergency advice, so write the script yourself and test it with real scenarios.

### What should an AI receptionist say if a caller smells gas?

As little as possible, using a fixed message you have approved. US federal pipeline guidance from PHMSA says to turn off gas appliances if safe, leave the area on foot and call 911 from a safe place, and avoid anything that could ignite gas. The AI should also alert your on call person immediately. It should never keep the caller on the line to book a routine visit.

### Does an AI receptionist book into ServiceTitan, Jobber or Housecall Pro?

Each platform sells its own phone AI that books into its own schedule: ServiceTitan voice agents, Jobber Receptionist and Housecall Pro CSR AI. Outside AI tools connect through published routes: ServiceTitan’s Leads Integration Platform for approved partners, and Housecall Pro’s Create Lead API on the Max plan. Check current terms with each vendor.

### How much does an AI receptionist for plumbers cost?

As of October 2026, Jobber’s Receptionist is $29 a month for 30 conversations and included on Plus, Upfirst starts at $24.95 for 30 calls and Rosie at $49 for 250 minutes. A custom build costs $10,000 to $30,000 for a single line and $30,000 to $75,000 when integrated, plus usage of about 8 to 25 US cents a minute.

### Is a plumbing virtual receptionist better than an AI answering service?

A live virtual receptionist handles unusual calls and upset customers better, but costs far more per call. An AI answering service is cheaper and answers instantly at any hour, but needs careful setup and a clear handoff to a person. Many plumbers use AI for after hours and overflow, with a human for sensitive calls.

### What is the best AI answering service for plumbers?

There is no single best. If you already use ServiceTitan, Jobber or Housecall Pro, start with that platform’s own AI because it books straight into your schedule. If not, compare general subscriptions on cost per call, overage rules, dispatch limits and emergency transfer. Test each with your own calls on a free trial before you pay.

### When does a plumber need a custom AI receptionist?

When no product can follow your dispatch rules, serve several branches or service areas, write into your software, or keep recordings in your own cloud account. For a small crew with a standard setup, a built in add on or subscription usually costs far less. We will say so on a scoping call if that is your case.

### How long does it take to set up an AI receptionist?

ServiceTitan states a setup of about 20 minutes for its voice agents, and Housecall Pro says CSR AI can be live in minutes. Expect longer in practice for call scripts, emergency rules and testing. Our AI Pilot builds a working custom version on your own scripts in 10 business days for $1,500.
