## Where AI for law firms pays back first

Most firms start with the work that happens before a matter is opened, because that is where enquiries leak away.

A prospective client with a car accident, a redundancy or a visa refusal will usually call several firms in one sitting. If your receptionist is on another line, or it is 7 pm, the caller moves to the next name on the list. Unlike many businesses, a firm cannot simply book anyone who calls: it has to check conflicts, confirm the matter is one it handles and record what was said. ## How AI client intake and conflict pre screening work together

Intake at a law firm has two jobs that pull against each other: be fast enough to keep the enquiry, and careful enough not to take on a conflict. An AI intake agent can do both, because it can search your matter database while it is still talking to the caller.

Here is the order we usually build. The agent confirms the caller is a prospective client and the practice area is one you handle. It collects the caller’s name, the other side and any related companies, and runs a pre screen against current and closed matters, including spelling variants and transliterated Arabic names for UAE firms. A clean result lets it book a consultation. Any possible match stops the booking politely and sends the details to your conflicts team.

Information from prospective clients is protected even if you never take the matter, for example under ABA Model Rule 1.18, so the agent collects only what the conflict check and first meeting need. ## Confidentiality and privilege by design

A firm’s duty of confidentiality does not pause because software is involved. These are the controls we build in from the first sprint.

We use model providers under enterprise terms that exclude your prompts and documents from training, with retention switched off where offered, or we run open models inside your own cloud. Consumer chatbots never touch client material.

After [United States v. ## Professional rules for AI in the US, UK and UAE

Regulators have not banned legal AI. They have made clear that the lawyer remains responsible for it. These are the rules we build around; your risk partner makes the final call.

### United States

[ABA Formal Opinion 512](https://www.americanbar.org/news/abanews/aba-news-archives/2024/07/aba-issues-first-ethics-guidance-ai-tools/) (July 2024) applies the Model Rules to generative AI: competence (1.1), confidentiality (1.6), client communication (1.4), reasonable fees (1.5) and supervision. Informed client consent is needed before confidential information goes into self learning tools. State bars add their own opinions.

UK

### United Kingdom

The SRA expects firms to use AI within the existing Code of Conduct: paragraph 6.3 on confidentiality, 6.1 and 6.2 on conflicts, and 3.5 on supervision. Its [warning notice on misuse of AI](https://www.sra.org.uk/solicitors/guidance/misuse-ai/) follows the 2025 Ayinde judgment on fake citations. The SRA authorised Garfield.Law, an AI driven firm, in May 2025.

### United Arab Emirates

The DIFC Courts issued [Practical Guidance Note No. 2 of 2023](https://www.difccourts.ae/rules-decisions/practice-directions/practical-guidance-note-no-2-2023-guidelines-use-large-language-models-and-generative-ai-proceedings-difc-courts) on large language models in proceedings. Parties should declare AI generated content early, ideally before the Case Management Conference, remain responsible for its accuracy and share client confidential information with AI only with consent.

## Questions to put to any legal AI development company

Ask these of every vendor, including us.

1. 1 Which model provider sees our documents, and on what terms? You need the named provider, the contract terms on training and retention, and where processing happens. A vague answer here is a confidentiality problem.
2. 2 How are ethical walls enforced in search results? Permissions should be checked against the document system at query time. A copied index with its own rules drifts out of date and leaks.
3. 3 What happens when the AI cannot find a supporting source? The right answer is a refusal or a referral to a person. A system that fills the gap from general knowledge will eventually invent a case.

5. 5 Can supervising lawyers see every draft and every source? Supervision duties under the ABA rules and the SRA Code need an audit trail. If the vendor cannot show one, your partners cannot prove the output was checked.

### What is an AI receptionist for law firms?

An AI receptionist for law firms is a voice and chat agent that answers calls to the firm, identifies whether the caller is a new enquiry, an existing client or opposing counsel, collects intake details, runs a conflict pre screen against your matter database and books a consultation. It never gives legal advice. Anything urgent, such as a court deadline tomorrow or an arrest, goes to a named lawyer immediately.

### Can AI run a conflict check on a new enquiry?

AI can run a conflict pre screen, which is not the same as clearing a conflict. The agent collects the names of the prospective client, opposing parties and related companies, searches your practice management system for matches, including spelling variants and transliterated Arabic names, and flags hits for your conflicts team. A person always makes the final decision before the firm accepts the matter.

### Does using AI waive attorney client privilege?

It can, depending on the tool and who directs its use. In United States v. Heppner (SDNY, February 2026), documents a defendant created on his own with a consumer AI chatbot were held not privileged. Firms reduce that risk by using tools under contract terms that forbid training and disclosure, deployed at the direction of counsel, with access limited to the matter team.

### Which practice management systems can legal AI connect to?

We regularly scope Clio, MyCase, PracticePanther and Filevine for matter, contact and calendar data, and iManage or NetDocuments for documents. Each offers an API, although access levels vary by plan and some features need vendor approval. We confirm what your subscription allows during scoping rather than scraping screens.

### Can AI review contracts and flag risky clauses?

Yes, as a first pass. An AI review tool reads each contract against your playbook, extracts clauses such as change of control, assignment, indemnity caps and governing law, and marks deviations with the exact text and page. A lawyer reviews every flag and every clean result before advice goes out. Accuracy is measured on your own sample documents before the tool is used on a live matter.

### Will a legal AI assistant make up case citations?

A general chatbot can, which is how lawyers in Mata v. Avianca and the UK Ayinde case ended up citing cases that do not exist. We design legal assistants to answer only from documents they retrieve, show the source passage for every statement, and refuse when nothing supports an answer. Citations still need checking against an authoritative database before anything is filed.

### Can clients be billed for work done with AI?

Under ABA Formal Opinion 512, US lawyers may bill for time actually spent using a generative AI tool and checking its output, but in most cases may not bill clients for learning how to use it. With flat fees, the fee still has to be reasonable. UK and UAE firms should check their engagement terms and regulator guidance before billing.

### Do UAE law firms need their AI hosted in the UAE?

Not always, but many prefer it. The UAE PDPL and the DIFC Data Protection Law No. 5 of 2020 set conditions for transferring personal data abroad, and many client agreements add their own. We can host in Azure UAE North or the AWS Middle East (UAE) region and choose models available there, so client documents stay in the country.

### How much does an AI receptionist for a law firm cost?

### Is legal AI worth it for a small law firm?

Often, when it targets one clear leak. Small firms usually lose most value on unanswered calls from new enquiries and on slow intake. A focused intake agent or a document summariser can pay back within months. A full platform rarely makes sense below about 20 fee earners, and an off the shelf product may be the better starting point.
